1. Core principle
A booking on ORION reserves real inventory — a room, a villa, an apartment, and/or an guide's time. When you book, that inventory is taken off the market. Because of this, ORION does not offer free same-day or last-minute cancellation. Refunds depend on the cancellation tier you accepted at checkout and how far in advance you cancel.
2. Accommodation tiers
Each stay (hotel, villa, or apartment) is offered under one of the following tiers. The tier is shown clearly before you pay.
| Tier | Full refund if you cancel before | Inside the window |
|---|---|---|
| Standard (default) | 14 days before check-in | No refund of accommodation |
| Strict | 30 days before check-in | 30–7 days: 50% · under 7 days: 0% |
| Flexible (large partner hotels only) | 5 days before check-in | First night + cleaning non-refundable |
There is no universal free-cancellation grace period. Flexible terms are available only on select large partner hotels that can resell dates; for those, ORION retains its service fee even on a refunded booking.
3. Hunts & activities
Guided hunts, gear rental and guided outings are reserved guide time. Cancellations of the hunt component:
- More than 7 days before the hunt: full refund of the hunt component.
- 7 days to 48 hours before: 50% of the hunt component.
- Under 48 hours, or no-show: no refund — the session is treated as delivered.
4. Season & weather — please read
Hunting depends on conditions. Weather and game movement are inherent, normal risks of the sport and is outside the control of ORION, the host and the guide. ORION helps you choose destinations and dates with the highest statistical probability of good conditions, and we show seasonal probability for every destination — but we cannot and do not guarantee game or weather.
Poor-weather or low-activity days are not grounds for a refund of your accommodation, which is consumed regardless of conditions. Where a guide is unable to deliver a booked hunt purely because conditions are unsafe, the guide may, at their discretion, offer to reschedule within your stay or issue a credit for a future hunt; this is the guide's decision, not an ORION guarantee. By booking, you acknowledge and accept the conditions risk.
5. No-shows
Failing to check in or to attend a booked session without cancelling is a no-show. No-shows are non-refundable in full and the service is considered delivered.
6. ORION service fee
The ORION service fee is refunded only when you cancel within a full-refund window. On Flexible large-hotel bookings, and on any partial-refund scenario, ORION retains its service fee.
7. If the host or outfitter cancels
If a host or guide cancels on you, or cannot honor a confirmed booking, you receive a full refund (accommodation, hunt and service fee), and we will try to rebook you at a comparable option. Because funds are released to the host/guide only at check-in (see Terms), ORION still holds your money and can refund you directly.
8. Optional cancellation protection
At checkout you may add optional Cancel-For-Any-Reason protection and travel insurance underwritten by our licensed insurance partners. This is optional, paid by you, and lets you recover your booking value for reasons our standard policy does not cover. See our Traveler Protection & Insurance page.
9. How to cancel
Cancel from your ORION dashboard under the booking. The refund (if any) is calculated automatically from the tier and timing and returned to your original payment method. Do not arrange cancellations directly with the host — only cancellations made through ORION are honored.
10. Chargebacks
If you believe a refund was mishandled, contact ORION support first; we mediate disputes between you and the host/guide. Initiating a bank chargeback without first using ORION support violates these terms and may result in suspension. A no-show or a validly non-refundable booking is not a valid chargeback.
This policy is provided for transparency and is subject to final legal review per jurisdiction. Where a mandatory consumer-protection law grants you greater rights, that law prevails.
