Provider Agreement

The contract every outfitter, guide, hotel, villa and apartment host accepts before listing on ORION. We keep onboarding light — a few items are required to protect hunters and you.

1. Who this covers

This agreement applies to all providers on ORION: accommodation hosts (hotels, boutique properties, villas, apartments) and activity providers (outfitters and independent guides). ORION is a booking marketplace, not the operator of your business.

2. Our role — limited payment agent

The contract for the stay or hunt is between you and the hunter. ORION acts solely as your limited agent for collecting payment on your behalf; a hunter's payment to ORION discharges their obligation to you. ORION does not take title to or speculate on hunter funds.

3. Accommodation hosts — onboarding

Requirements scale to your type. All hosts:

  • Legal/business name + country + ID of the account holder.
  • Proof of the right to rent (ownership, lease, or management mandate) — individual villa/apartment owners do not need a hotel license.
  • Payout details (via Stripe) and a valid tax form (§8).
  • Accurate listing: photos, location, amenities, house rules.

Licensed hotels additionally: tourism operating license and, where available, a liability insurance certificate.

4. Guides & outfitters — onboarding (light)

  • A complete profile: name, photo, bio, languages, destinations, experience.
  • Certification — IKO or VDWS with level. Where the IKO verification API is available, ORION verifies your status automatically.
  • Payout details (via Stripe) and a valid tax form (§8).

We do not impose country-specific activity permits globally; you are responsible for operating legally where you teach. You carry your own insurance appropriate to teaching hunting (note: basic IKO recreational membership does not cover clients during hunts).

5. Liability release

ORION is not the operator, employer or supervisor of your service. You agree to a release and hold-harmless in favor of ORION: you are solely responsible for the safety, conduct, quality and outcome of the accommodation or activity you provide, and you release ORION from, and indemnify it against, claims arising from your property, hunts, equipment or conduct, to the maximum extent permitted by law.

6. Payouts & release at check-in

Hunter payments are held and released to you at the hunter's check-in (or when a hunt begins). This protects hunters and reduces chargebacks. ORION does not earn interest on held funds.

7. Commission

ORION retains a service commission per booking, disclosed in your dashboard; the remainder is paid out to you.

8. Tax forms — required before any payout

ORION Inc. is a US company and a withholding agent. We cannot release any payout until a valid W-9 (US) or W-8BEN-E / W-8BEN (non-US) is on file. EU sellers may be subject to DAC7 data collection and reporting.

9. Cancellation & season

Hunter refunds follow the Cancellation & Refund Policy. Conditions are an inherent part of hunting and are not a refund trigger; if conditions prevent a booked hunt, you may, at your discretion, reschedule within the hunter's stay or issue a credit.

10. Conduct & termination

Honor confirmed bookings, keep availability accurate, operate safely and lawfully, and resolve hunter issues through ORION mediation. We may suspend a provider for safety, fraud, false certification, repeated cancellations, or missing tax documents.
